How to automate supplier invoices into Xero (and stop paying bills twice)

25 October 2026 · 5 min read · Taylor Salmon, Millwright

Keying supplier invoices is one of the most common jobs we automate. Here is how it works, the checks that matter, and the mistakes to avoid.

Why it is worth automating

Supplier bills arrive by email, as PDFs, photos and sometimes in the body of the email itself. Someone opens each one, types the details into Xero or MYOB, picks an account code and attaches the file. It is slow, it is error-prone, and it is exactly the kind of work that slips when things get busy.

The real cost is not just the time. It is the duplicate that gets paid twice, the wrong account code that throws out your reporting, and the bill that sits in someone's inbox until the supplier chases it.

What a good invoice automation does

  • Watches the inbox. Every email to accounts@ (or wherever bills land) is picked up automatically.
  • Reads the invoice. AI extracts the supplier, ABN, invoice number, date, amounts, GST and line items, even from messy layouts.
  • Checks the ABN. A valid ABN follows a checksum rule set by the ATO, so obviously wrong numbers can be caught instantly.
  • Catches duplicates. It compares supplier, invoice number and amount against bills already in the system, including near-matches.
  • Codes it. It applies your coding rules and learns from how similar bills were coded before.
  • Creates the draft bill. The bill appears in Xero or MYOB with the PDF attached, ready for approval.

What to keep a human on

The goal is not to remove people from the process. It is to remove the typing. Keep a person on:

  • Approving bills before payment, especially new suppliers or unusual amounts.
  • Anything the system flags as low confidence or a possible duplicate.
  • Changes to supplier bank details, which are a common fraud target.

Isn't this built into Xero already?

Xero and MYOB both have bill-capture features, and for simple cases they are a great start. Where a custom automation earns its keep is in handling messy emails, applying your own coding rules, catching duplicates across suppliers, checking ABNs and fitting into how your approvals actually work.

Next steps

If your team processes more than a handful of supplier bills a week, this is usually one of the fastest automations to pay for itself. It pairs naturally with automated payment reminders on the receivables side and a month-end close that runs itself.
